Special events
A link for each event, where people who don't train with you sign up, sign your waiver and pay.
Make an event
On the web, open your gym and choose Events, then New event. Give it a title, a price (0 for a free event) and whether people book One session each (heats, or a morning and an afternoon run) or Every session (a two-day seminar), then Make event.
A new event is a Draft: its link doesn't work yet. On its page you can change its Title, the end of its link (Link ends in, only while it's a draft), Price, Where (blank means your gym), when Sign-ups close (blank means when the first session starts) and About the event. Choose Save details.
Owners and admins make and change events. Every staff role can see them and who signed up.
Sessions
Under Sessions, set the Day, when it Starts, how many Minutes and how many Places, then Add session. Each session is an ordinary class on your schedule, under the Special Events class type, so its roster, check-in, the class board and the TV work as they do for any class. Add as many as you need. Remove takes out a session nobody is booked into.
The form
Everyone who signs up gives their name, email, phone, date of birth and an emergency contact. Under Questions, Add question asks up to five more of your own, as Short text or Pick one (a shirt size, Rx or Scaled, a partner's name). Tick Required for the ones they must answer, and choose Save questions.
Under Signed on the form, tick the documents they sign, and choose Save documents. A new event starts with your waiver. To use a waiver just for this event, add it first under Waivers and documents. Signatures are kept the way members' are: the name typed, the time, and the device. For anyone under 18, a parent or guardian types their own name and signs.
Who signed up
Sign-ups lists everyone, with their session, whether they're Booked, Waitlisted or Checked in, whether they signed, what they paid, their emergency contact and their answers. Someone who doesn't train with you is a Guest, and becomes a lead you can follow up under Leads: choose From events there to see them.
Each person gets an email with a link to their place, where they can Add to calendar or give their place back with Can't make it. When a free event's session is full, the next sign-up joins its waitlist and moves in when a place opens. Cancel beside a name gives their place back and emails them.
Cancel event cancels its sessions and emails everyone who signed up, with your reason if you give one.
Paid events
An event with a price takes a card through your own Stripe account (see Plans, billing and payments); it can't open until Stripe is set up. A place is held while someone pays, and they're booked once they have. A full paid session has no waitlist. Each payment is an invoice on their page. Refunds are made in Stripe.
Members pay the same way, through the link: they can't book a paid event's session from the app.
On the day
Run each session like any class. Guests are on the roster, marked Guest, with their answers. Check them in, and score them from the class screen: their scores go on the whiteboard and the board, and stay with them if they join.
Something here doesn't match what you see, or still stuck? Email support@crossadapt.app and a person will answer.
